Acceptable use and content policy

ClubTitan exists to run grassroots clubs, and around half the people at a grassroots club are children. That shapes every rule on this page. This policy applies to everyone who uses ClubTitan — members, parents, coaches, club administrators and visitors to club sites — and forms part of both the club terms and the member terms.

What you may not post or do

Use ClubTitan to run and follow your club. Never use it to post, share, link to or organise:

• anything that sexualises, exploits or endangers a child, or any attempt to groom or make inappropriate contact with a child — this is the line we police hardest, and we report it to the authorities;
• threats, harassment, stalking or intimidation of anyone;
• hatred or abuse aimed at people for who they are;
• intimate images shared without consent;
• content encouraging suicide, self-harm or eating disorders;
• terrorism content, or the sale of weapons or drugs;
• fraud, scams, or content that deliberately misleads people about money;
• anything else that breaks the law, or helps someone else break it;
• attempts to bypass the platform's safeguarding rules — including the rule that an adult cannot message a child without their guardians included;
• spam, unwanted marketing, or scraping of other people's data;
• probing, overloading or interfering with the service or other clubs' data.

This list reflects our duties under the Online Safety Act 2023 to keep illegal content off a service used by families, and it applies to every surface: chat, photos, match reports, news posts, comments and club websites.

Reporting content

Anyone can report content — you don't need an account. Use the report option next to the content in the app, or email [to be confirmed before launch — reports contact email]. Reports go to a person, are reviewed promptly, and you'll be told what happened. Where a child's safety may be involved, we act on the content first and review afterwards. If you're unhappy with how a report was handled, reply to the outcome and it will be re-reviewed by someone who wasn't involved the first time.

Photos and videos of children

These rules are enforced by the platform itself, not just written here:

• Consent before publish.A photo featuring a child can only be published where the guardian's photo consent is in place — without it, the platform refuses to publish.
• Location data stripped.Location and device metadata is removed from photos before they're stored.
• Instant takedown for the people in the photo. A verified guardian of a child in a photo — or the person in the photo themselves — can have it unpublished instantly, no questions first: the public copy is removed immediately and an admin reviews afterwards. Anyone else can request a takedown, which is reviewed by the club.

Match reports and news

Public pages refer to young players by first name only. Clubs may appoint an approver for team reports; whoever approves a report for publication takes responsibility for its content and acknowledges that responsibility in the app before their first approval.

Your content stays yours

You keep ownership of everything you post. ClubTitan takes only the narrow licence needed to operate the service: to host, display, resize and back up your content so your club can use it. We do not sub-license your content, use it to train or build other products, put it in our marketing without asking, or keep any rights after the content is deleted.

Club administrators' responsibilities

A club's public website and news pages are published by the club. Club administrators are the first line of moderation for their club: they're responsible for what their club publishes, for acting on reports about their club's content, and for the conduct rules their club sets for its own spaces. We step in where the club doesn't, or where this policy is broken.

Enforcement

In most cases enforcement is a ladder, in proportion to the harm:

• a warning, with the rule explained;
• removal of the content;
• restriction of specific features (for example, posting or messaging);
• suspension or removal of the account — or, for serious club-level failures, the club.

Two exceptions. Where a child's safety is involved, we skip the ladder: we act first and explain second, and where the law requires it we report to the police or the relevant authorities. And because this is a children's platform, we intend to reserve the right to suspend an account where conduct away from the platform (for example, a safeguarding bar from working with children) is incompatible with using a service built around children — the precise wording of that right is [to be confirmed before launch] with legal review.

If your content or account is actioned, we'll tell you what rule was broken and how to appeal, except where telling you would put someone at risk.
