Member terms of use
These are the terms between you — a member, parent, player, coach or volunteer using the ClubTitan app — and Dobl Ltd, trading as ClubTitan. They're short because the relationship is simple: your club runs your membership, and we provide the software you both use.
If you run a club, the club terms of service are the agreement between your club and us.
1. The triangle: you, your club, and us
Your membership belongs to your club, not to us. The club decides what information it collects about its members and why — legally, the club is the data controller and ClubTitan processes that data on the club's behalf. So questions about your membership, your fees, or what your club has recorded about you go to your club first; questions about the app itself, or your ClubTitan account, come to us. How we handle personal data is set out in our privacy notice.
2. Your account
One ClubTitan account works across every club you belong to — if your children play at two clubs, you still have one sign-in. Keep your sign-in details secure, and tell us straight away if you think your account has been compromised. You must give accurate information when you register.
3. Parents and guardians
A child's profile on ClubTitan is created and controlled by their parent or guardian — the child never manages their own data. As a guardian you're responsible for:
- the accuracy of the information you provide about your child, including medical information the club needs for duty of care;
- the consents you give or withhold (photos, trips and so on) — you can change any of them at any time;
- supervising any use your child makes of a device signed in to your account.
The platform enforces its children-first rules automatically — for example, a coach cannot message a young player without the guardians included — but it supports, never replaces, your club's safeguarding policy.
4. What you post, and how you behave
Photos, comments, match reports and anything else you contribute stay yours. You give ClubTitan a non-exclusive, royalty-free licence to host, display, resize, format and back up your content, and to show it to the people your club and your own sharing choice allow — your club's members, and where you have chosen it, people at other clubs and in your area who follow your club, league or sport. We never sell your content or use it to advertise someone else's product. Deleting your content ends this licence for it, except for copies already shared under your club's name.
Everyone using ClubTitan agrees to the acceptable use and content policy: treat people decently, post nothing unlawful or harmful, and respect the rules that protect children — including that photos of children publish only with the right consents in place, and that a guardian can have a photo of their child taken down instantly.
If something you posted is removed, or your account is suspended or restricted, we tell you why. How to complain or appeal is set out in our complaints and appeals procedure.
5. Keeping people safe from illegal and harmful content
ClubTitan is used by families, and many of the people at a club are children. This section explains how we protect everyone who uses ClubTitan from illegal content, and how we protect children from content that is harmful to them. What may not be posted is set out in the acceptable use and content policy.
Illegal content. Nobody may post or share illegal content on ClubTitan. That includes terrorism content, child sexual abuse material or any attempt to groom a child, and other illegal content such as threats, hatred, fraud, intimate images shared without consent, and the sale of weapons or drugs.
Reporting it. Anyone can report content, with or without an account. In the app, report the message itself. For a page on a club’s website, use the Complaints link at the foot of the page, or email reports@clubtitan.com.
Who looks at a report. A reported message is reviewed by your club’s welfare officer, or by its complaints officer if it is about conduct, applying ClubTitan’s rules. ClubTitan is the backstop: a report emailed to reports@clubtitan.com comes to us, not only to the club, and we step in where a club does not act. You are told when your report has been reviewed, but not what was decided.
Taking it down, and how quickly. The officer reviewing a report can hide a message straight away, and it is then removed for everyone in the conversation. A club’s administrators can unpublish a page on its website. We aim to look at a report of illegal content within one working day. Where a child may be at risk, we act on the content first and look into it afterwards.
No automatic scanning. ClubTitan does not use proactive technology to detect illegal content: nothing scans messages, photos or files automatically. We rely on the protections in this section, on reports, and on people reviewing them. We report child sexual abuse material to the National Crime Agency, as the law requires.
Complaints and appeals. If you are unhappy with how a report was handled, or something you posted was removed or your account was restricted, you can complain or appeal. Our complaints and appeals procedure says how, and how long each step takes.
How children are protected from harmful content. None of these may be posted anywhere on ClubTitan: pornography; content that encourages suicide, self-harm or an eating disorder; abuse or hatred aimed at people for who they are; bullying; violent content; dangerous challenges or stunts; and content encouraging the use of harmful substances. Whatever the kind, the same protections keep it away from children:
- A child under 13 cannot have their own account.
- A young person aged 13 to 17 can only read and reply in a conversation that one of their own parents or guardians is also in, so no adult can message a child out of their family’s sight.
- There are no public comments, feeds, recommendations, livestreams or public profiles, so nothing is pushed to a child and no stranger can contact one.
- A club’s public pages are written by its officials, and anything a member submits is held until the club approves it.
- A young player is named on a club’s public pages only where their family’s consent allows, and a photo of a child is published only with their parent or guardian’s consent, with its location data removed.
- A child’s location is never collected.
Bullying is the harm a child is most likely to meet here, through words about them on a club’s pages. Against it, the club controls every word it publishes, a family can withdraw consent at any time, and anyone can report what was written.
6. Payments and refunds
When you pay through ClubTitan, you're paying your club — the money goes directly to the club's own payment account, and ClubTitan never holds it. Refunds are your club's decision under its own policy: the club chooses whether a refund is the full amount or the amount less the payment provider's processing fee, and its policy is shown to you before you pay. ClubTitan's own fee is always returned when a payment is refunded. (Fundraising entries are different: a draw or competition entry is generally non-refundable once made — each campaign page says so before you enter.) If something looks wrong with a payment, contact your club treasurer first — the club received the money and decides refunds. For a card dispute you can also raise it with your bank or card provider, who handle chargebacks with the payment provider. If you still can't resolve it, contact us and we'll help where we can — though we don't hold the money and aren't the payment provider.
7. Marketing is yours to control
Using ClubTitan never requires accepting marketing. Marketing is adult-only, each stream is controlled by you in your marketing preferences, and every marketing message carries a one-tap, no-login unsubscribe that takes effect immediately. The detail is in the privacy notice.
8. AI in the app
Some features use AI to draft and organise — always with a person reviewing and approving before anything is published or sent, and never for decisions about you made by a machine alone. If you connect your own AI assistant (ChatGPT, Claude, Copilot or Gemini) to your club data, that connection is read-only, scoped to what you're already allowed to see, and revocable by you at any time. The full picture is in our AI transparency statement.
9. Leaving
You can leave a club at any time — your club removes your membership, or you can ask them to. You can download a copy of your own data from the app whenever you like. You can also delete your ClubTitan account entirely: deletion is staged (so a mistaken tap doesn't destroy your family's records) and then permanent, except the minimum we or your club must keep to meet legal obligations. A child's profile is deleted by their guardian.
10. The service, and our responsibility to you
ClubTitan is free for you to use. We work to keep the service available and your data safe, but we can't promise uninterrupted service. Nothing in these terms affects your statutory rights as a consumer.
Weather and the pitch. The forecast, the kit suggestions and the guess at how the pitch will play come from Apple Weather and from what coaches have logged at a ground. They're there to help you plan, not a promise — if the weather looks bad, check with your club before you travel.
YOUR USE OF THIS REAL TIME WEATHER GUIDANCE APPLICATION OR WEBSITE IS AT YOUR SOLE RISK. WEATHER DATA MAY NOT BE ACCURATE.
The app is free. Nothing in these terms affects your legal rights as a consumer, or limits liability that the law does not allow to be limited.
11. Changes, law and contact
If we change these terms in a way that matters, we'll tell you directly and in advance. These terms are governed by the laws of England and Wales, and disputes belong to the courts there — including the courts of your home nation within the UK where consumer law provides for that.
