ClubTitan was built from the first line of code around one question: what does a child’s data need from the people who hold it? The fixtures, the money and the messages were all built on top of that answer.

Why we started here
Most clubs run on goodwill and group chats.
Nobody means any harm. Nobody has a system either — so a child’s details end up wherever they were last typed, and stay there.
How a season’s details usually travel
- Names, dates of birth and medical notes typed into a spreadsheet, then forwarded on
- Who may collect a child, agreed in a group chat and remembered by one person
- Paper consent forms photographed on a phone that is never emptied
What we built instead
- One record per child, owned by their guardian, with a clock on how long it is kept
- Who can see what decided by the platform, not by who happens to be in the chat
- Consents held as settings that flow everywhere, so nothing is stored twice or forgotten once

Who holds a child’s data
A parent owns their child’s record. Always.
- The guardian creates the record and it stays theirs. The club is given what it needs for the season, and nothing beyond it.
- A coach sees the squad, not the family. A parent’s phone number is revealed by a tap that is logged, for a stated reason, and never lands in the coach’s own contacts.
- A child’s record is never public. No leaderboards, no rankings, no profiling — outside the club or inside it.
- When a family leaves, the record leaves with them. The retention clocks run on their own, and an export is always one tap away.

Coaches, children and parents
Every message to a child reaches their parent too.
- Closed-loop messaging is enforced in the platform, not written in a policy a volunteer has to remember at nine on a Sunday night.
- A DBS check is held as a number and a date. It is chased before it expires, and it is never stored as an uploaded document.
- Photo consent is one setting the parent controls, and it follows the child everywhere — the club site, the app, reports and galleries.
- Volunteers, helpers and lifts are arranged inside the app, with the audit trail a safeguarding officer actually needs.

Locked down, in the UK
Where the data lives, and who can reach it.
- Hosted in the United Kingdom: the database, the files and the backups.
- Every club’s data is kept apart from every other club’s, so nothing in one club can reach another.
- Encrypted throughout. Medical and safeguarding details open only for the few people who need them, every look is recorded, and families can see who has looked.
- Club officers sign in with two-factor authentication (2FA), and everyone can see, and sign out, the devices they are signed in on.
- Card details never touch ClubTitan. Payments are taken by regulated payment providers, and we only ever see the result.
- Backed up to multiple, independent secure stores in the UK, and signing out wipes what the phone was holding.

Their development, at their pace
Helping a child enjoy their sport — without ranking them.
- A coach’s notes about a child stay with the coaching staff, and can be shared with that child’s parent. Never with anyone else’s.
- Development is measured against the syllabus for their age, never against the child standing next to them.
- AI does the admin and never a judgement about a child, on the coach’s own phone*. No child’s data is sent to a cloud model.*On iPhone 15 Pro and every iPhone since, and on Android phones with Google’s built-in on-device AI (Pixel 8 and Galaxy S24 onwards, and more models with each release). On any other phone, and on the web, a coach’s notes are kept exactly as written, without the AI; they are never sent to a cloud model instead.
- Fair game time is a tool the coaches can see. It is not a score the children can.

Nobody under 18 is sent marketing of any kind, and there are no adverts in the app.
A coach never messages a child alone.
A parent, or another adult the club has approved, is always in the conversation too. The platform enforces it, so nobody has to remember it.
